Volunteer Job Descriptions

Here is a brief description of each volunteer position. Each position is divided into first and second half of the meet unless otherwise noted. The first half of the meet is events #1-43 and the second is events #44-86. The number in the parentheses indicates how many people are needed per half.

Bullpen: (1 or 2 per age level)  Bullpen is organized by age level. Supervise swimmers and ensure that each swimmer is in line behind the blocks and ready for their races 5 events in advance. Help clean up at the end of your shift.

Deck Manager: (1) The Deck Manager ensures that all swimmers from Kingsley are lined up in the correct order and in the correct lane.  The deck manager should continuously check off Kingsley swimmers as they line up for their events, 4 to 5 events ahead of time.  If a swimmer is missing, the deck manager should notify a coach or bullpen worker right away.  This is an important role to ensure swimmers do not miss events!!

Timer: (3) The timer will use a stopwatch and time each race in their lane. Kingsley provides the stopwatches.

Recorder: (3) The recorder is partnered with a timer and will record the time for each race on a Timer Sheet. Provide times to the Master Recorder as he/she collects them. Please write legibly.

Place Judge: (2, one from each team)

  • Visually judge the result of each race to determine who touched the wall first, second, third etc.
  • Write down the order of finish on a Heat Sheet. Do not verbally call out order. Place judging is not a negotiation – call it like you see it.
  • Compare order with the Place Judge from the other team.
  • If there is disagreement, ask the ASA Ref to break the tie. Don’t consult times or video.
  • Tell the Judges Recorder the order of finish.


Judges Recorder: (1, Home Team) “Clerk for the Place Judge”

  • Do not assume, pre-write the order of finish as you see it. Wait until the place judges tell you the order. Do not have a say in the order of finish – should NOT offer an opinion.
  • Write down the official order of finish provided by the Place Judges onto the Place Judge Form. First, write the order across the top in logical place order and then transpose the order in vertical place column. SEE EXAMPLE BELOW.
  • Hand off completed Place Judge Form to Master Recorder


Master Recorder: (2, one from each team) The master recorder’s responsibility is to record official results of each race from the timers.

  • Take the completed Place Judge Form from Judges Recorder.
  • Go from lane to lane and get times from the Timer/Recorder and write them on the Place Judge Form.  SEE EXAMPLE BELOW.
  • Give Place Judge Form to Runner (OR for Kingsley Home Meets, place in Bucket at the Pavilion for the Computer Person to retrieve.
  • Please write legibly


Runner:
(1, Home Team) The runner collects the Place Judge Form from the Master Recorder to “run” back and forth to the computer operator. NOTE: When Kingsley Computer Operator is in Pavilion, Master Recorder will put sheet in the bucket to give to computer operator. 

Announcer: (1) The announcer is a home meet only position. The announcer helps pace the meet and announces each race number.


Cashier: (1 or 2) Home meets only at the concession stand.

Grill Operator: (1) The first half grill operator would arrive at 4 to set up and start the grills and begin cooking. The second half operator would continue cooking and then be responsible for clean up.

Championship Coordinator: (1) The champ coordinator obtains and reviews any information regarding championships and relay that information to the team. They obtain volunteers for the championship meets and obtain credentials for the meet. They are the point volunteer person at the meet. Due to the heavy volume of work required, this is a meet exempt position.

Banquet Coordinator: (2) The Banquet coordinator handles all the jobs of the end of season banquet. Set up, clean up, decorations, food, cake, etc.

Place Judge Form Flow & Example

1 - Place Judges determine order of finish.

2 - Judges Recorder writes out order of events provided from Place Judges (first across the top, then also vertically in bottom second section)

3 - Judges Recorder gives form to Master Recorder

4 - Master Recorder goes to each lane, gets time from Lane Recorder, and writes down in last column for each lane

5 - Master Recorder puts form in Bucket by Pavilion for Computer Operator to retrieve.
